ADmaintaining inbox zero is all about your systems 🌟
between my inbox and my executive’s, i triage anywhere from 50 to 150 emails a day. here is the star system I use to ensure I keep up without staying late:
Every email gets a colored star the moment i open it:
❤️Priority Message | I must consult an exec before taking action. I’ll either add this item to our weekly 1:1 agenda, or depending on time sensitivity, forward it to them. If it’s urgent, I’ll text.
💙Calendar | This item is something that needs to be added to a calendar. The message contains event details, meeting materials, or a request for someone’s time.
💛 Waiting for Reply/Hold | Someone else needs to respond, but it’s still an open ticket. This helps me follow up with messages and manage projects.
💚 Task | This email holds an action item I must complete, or reminds me of non-scheduling work that I need to finish.
💜Event Management | Emails relating to upcoming events I’m executing.
I never have to think about what to do with an email because the color already tells me.
Once the inboxes are sorted, I can block my time accordingly.
