I immediately write my notes, sign it (everyone who attended must sign) and take a photo of the receipt. I email it to my business email — time stamped and documented. Pay your meals with your business card and not your personal. Then I log it into my master expense excel spreadsheet. Meals. Marketing. Supplies. Car. Cell phone. Home office. Everything. Because CEOs track numbers. They don’t guess. That spreadsheet goes straight to my tax professional so he can properly file my S-Corp return — Form 1120-S — the right way. After Form 1120-S is filed, I use the Schedule K-1 it provides to finish filling my personal tax return. Documentation is what protects your business. A potential client would say my price was expensive and my first reaction was always: “What’s your budget?” That question kills your position instantly. It tells the client you’re flexible, unsure and ready to negotiate against yourself. Instead, try something different. Pause. Let the silence sit for a second. Then calmly ask: “Too high compared to what?” 👁️ Now the conversation changes. Suddenly they start explaining. They reveal other offers they’ve seen. They talk about competitors. Sometimes they even admit they’re just guessing the price. Now you’re not defending your price anymore. You’re understanding their expectation. Then ask one more powerful question: “What result are you actually trying to achieve here?” 📊 Now the discussion moves from price → outcome. Listen carefully. Take notes. Don’t rush to defend yourself. When they finish connect your price to the problem they want solved. Show them the cost of the problem staying unsolved.
